How to dictate emails on your Mac
A practical workflow for speaking your message, reviewing it, and sending it.

Dictating an email starts in the same place as typing one: an empty message and something you want to say. Speak a few sentences, check that the words match your meaning, and make your final edits before sending.
Start with the message, not the wording
Before recording, decide what the other person needs to know. It might be a short update, a question, or a clear next step. You do not need to compose every sentence in your head first.
For a longer email, jot down three points. Speaking through a small outline makes it easier to keep your message on track.
Speak a first draft
With your cursor in the message, use your dictation shortcut and speak naturally. Include the greeting and sign-off if you want them in the draft. Pause to think when you need to.

The first draft is ready for your review. Could you take a look at the introduction and share your thoughts by Thursday?

Review before sending
Read the result once before you send it. Check names, dates, numbers, and anything that could change the meaning of your message. Dictation is a way to get a draft down; you still make the final call on what it says.
- Names: Is the recipient’s name spelled correctly?
- Details: Are dates, amounts, and deadlines right?
- Tone: Does it sound like something you would write?
